We designed a custom AI-powered automation funnel that streamlined lead intake, automated secure reminders, and ensured the internal team was only notified when a lead was actually ready for review.

A Canadian financial services provider was managing inbound funding leads through a fully manual process — inbox-based tracking, spreadsheet updates, and one-off reminder emails sent by hand. As lead volume increased, the process became inefficient, inconsistent, and difficult to scale.
Traditional CRMs were evaluated, but ultimately rejected as overly complex and costly for what was, at its core, a straightforward qualification and follow-up workflow.

The Shift

What We Built

We implemented a tailored automation using n8n and Google Workspace, designed around how the team actually works.

Key components included:

  • Automated lead capture from website forms into a central Google Sheet (acting as a lightweight CRM)
  • Status-based lead tracking (Application Sent, Received, Under Review, Approved, Rejected)
  • Automated application delivery with secure follow-up reminders
  • Triggered document request emails once applications were received
  • Built-in follow-up logic to ensure no qualified lead is forgotten

The Goal

The Goal was to build a simple, secure, automation-first lead funnel without introducing complicated new tools or systems to learn. The entire workflow was designed to live inside the client’s existing Google Workspace, using tools the team was already comfortable with. By avoiding heavy CRM platforms that would have added unnecessary features, licensing fees, and long onboarding cycles, the solution focused only on what was truly needed: clear lead tracking, automated follow-ups, and timely alerts when a lead was ready for review.
